Monitor Procedures

Monitor Hours: 9:00AM – 1200 Noon, Monday, Wednesday, Friday, and Saturdays as announced. The monitor for Monday each week should print the weekly schedule and post on the bulletin board. If unable to do this at home, ask for help in doing it at the lab.
Opening the building:
Each member who has agreed to serve as monitor, or who serves as a workshop instructor, SIG facilitator, some committee chairs, and members of the elected board of directors, has been assigned a unique PIN which when properly entered into the keyless lock will permit entry. This same number is entered again to lock the system. Anyone who opens the facility assumes responsibility for observing all applicable monitor procedures. Upon entry, “dog” door with the block hanging from the panic bar. Remember to remove the block before exiting the building.
Setting up the Room:
- Using the code provided during your monitor briefing, obtain the key to cabinet #2 from the small key box mounted on the side of the cabinet. The key to the larger wall mounted key box is in cabinet #2, and all other keys are contained in the large key box. Maintain an awareness of who is using keys, and insure all cabinets are locked before you leave the lab.
- Go into the “Dark Room”, and turn on system “A” computer and printer.
- Maintain control of photographic paper, either by leaving in the cabinet, or during periods of high demand; you may keep it with you at the desk.
Monitor Documents Maintained and other Information:
- Sign In: Insure that all members and quests are accounted for by entering their data into the computer. Members must show their card to the monitor and “swipe” their CAM cards through the card reader affixed to the desk. Quests are entered manually by the monitor. The word “GUEST” on the entry page is an active button. With the cursor on this button, each click of the mouse enters one guest.
- There is a limited supply of photo paper available for members. Costs are included in your monitor folder. There is no charge for a 4X6 test sheet as long as a larger size is purchased. Refunds are given only in case of printer malfunction.
- Black backing boards, white backing boards, and clear protective bags are for sale to members and are located in a lower cabinet to the left and below the library. Brass colored key #8 opens this cabinet.
- Payment for supplies, commission sales, and gift items may be made in cash or by check. Payment received should be placed in one of the pre-printed envelopes provided. Check off items or services purchased and enter the amount included. In the case of commission sales, also enter the data from the label affixed to the front or back of the photo. Envelopes are then inserted into the brown cash box. Supplies issued for club business, or test sheets used, should be indicated on the envelope as NC (no charge), and placed in the cash box as well. A current price list is contained in the black “Monitor Procedures” binder on the monitor desk.
- Change Box. The money in the green cash box is to be used only to break a larger bill in the event the purchaser does not have the exact amount. Do not mix the funds, but use the green box the same way you would ask someone to give you change for $xx.xx. The key to this box is the small brass key identified as “change”, in the wall mounted key box.
- The monitor schedule is on the bulletin board. Any member willing to be included on the monitor list, who has not previously done so, must attend a brief training sessions.
- Membership Application Forms are in the organizer on the monitor desk, and are used for existing member renewal and new members as well. The completed forms along with fee(s) should be placed in a pre-printed envelope and inserted into the cash box.
- Incident Report Form CC11. To be completed by the monitor in case of injury or other serious event. Also notify the Club President, or the Vice President. Their phone numbers are listed in the club information book.
General.
Remember to be a good ambassador for Grand Photos. Greet all members and guests. In the case of prospective members, you may well be their “first impression”.
Closing the Room:
- Make sure all equipment and supplies are returned to the proper cabinets.
- Make sure that the computers, monitors, printers, and scanners in the “dark room” have been turned off. The computer at the monitor desk is left on.
- Check to insure that all keys are returned to the wall mounted lock box and that the box is locked and this key returned to cabinet #2. Lock this cabinet and secure key # 2 in the small key box on the side of the cabinet.
- Turn off all fans and lights, re-enter your PIN to lock the doors. When you enter your PIN to open the system, it is more or less instantaneous. However; be aware that when you lock the system there is a 3 to 5 second delay after the PIN is accepted, indicated by a green light, and when the system is locked, indicated by red light. CHECK TO INSURE BOTH DOORS ARE LOCKED!!
